Bank statements in. Clean ledgers out.
Upload any bank statement PDF. Bank2Ledger extracts every transaction, categorises it against your chart of accounts using rules you control, and exports a ledger ready to import into QuickBooks, Xero, Tally, Sage or Excel.
No card required · Works with any bank, in any country
Reads statements from any bank, digital or scanned
Four steps from PDF to posted books
The same steps you already do at month-end, minus the keying.
Upload the statement
Drop in the PDF straight from the client’s email. Digital or scanned, one page or 300, current account or credit card. Multiple banks per client are consolidated into one ledger.
Every line extracted, then proved
Each transaction is pulled with its date, description and amount. Then the arithmetic check runs: opening balance plus every line must equal closing balance. If it doesn’t tie out, we flag the exact page instead of handing you a broken ledger.
Your chart of accounts. Your rules.
Import the client’s chart of accounts once. Write rules in plain terms, like description contains "GUSTO" → 6200 Payroll. Anything the rules don’t catch gets a suggested category you approve or correct, and each correction becomes a new rule. Month two runs itself.
Export to wherever the books live
QBO file for the QuickBooks bank feed. CSV shaped for Xero. XML for Tally. Excel working papers with a cash-basis P&L for the year-end shoebox client. One conversion, any destination.
Categorisation that remembers how you work
Generic auto-categorisation guesses. Bank2Ledger follows the account codes and naming you already use for each client, so the ledger comes back in your language, not ours.
- ✓One chart of accounts per client. Import from Excel or straight from QuickBooks or Xero. Codes, names and account types are preserved exactly.
- ✓Rules you can read. Match on description, amount range, or payee. No regex, no scripting. A junior can maintain them.
- ✓Corrections become rules. Recode a transaction once and Bank2Ledger offers to apply it to every future statement for that client.
- ✓Nothing posts unreviewed. Low-confidence lines are held in a review queue. You stay the approver, always.
Every client. One workspace.
A firm doesn’t process one statement. It processes forty clients, each with their own banks, their own chart of accounts, and their own deadline.
- ✓A workspace per client. Statements, chart of accounts, rules and export history stay separated. No cross-contamination between clients.
- ✓A close dashboard. See at a glance which clients are posted, which are in review, and who still hasn’t sent their PDFs.
- ✓One page pool for the whole firm. Your allowance is shared across clients, with rollover for the quiet months and top-ups for January.
- ✓Seats for staff. Juniors process and review; partners see everything. Every recode is attributed, so the working papers show who touched what.
“Can’t ChatGPT do this?”
You’ve probably tried. Paste a statement into ChatGPT, Gemini or Claude and you’ll get something ledger-shaped back. For a two-page personal statement, it may even be fine. Client work is a different job.
| General AI chat (ChatGPT, Gemini, Claude) | Bank2Ledger | |
|---|---|---|
| Long statements | ✕On 100+ page PDFs, chat tools truncate, skip lines, or quietly summarise. You won’t know which of 2,400 transactions went missing. | ✓Built to process 300-page statements line by line. Every import must tie out against opening and closing balances, or it’s flagged. |
| Made-up figures | ✕Language models sometimes invent an amount or transpose digits. One hallucinated figure and the whole month won’t reconcile. | ✓Amounts are extracted from the document, then arithmetically verified. A number that breaks the balance check never reaches your ledger. |
| Client privacy | ✕Pasting a client’s bank data into a consumer chatbot is a hard no for most firms, and a breach of many engagement letters. | ✓Purpose-built for financial documents: encrypted in transit and at rest, deleted on your schedule, never used to train anything. |
| Your chart of accounts | ✕No memory of client codes. You re-explain the chart of accounts in every session and still get “Miscellaneous Expense”. | ✓Each client’s chart of accounts and rules are stored. March uses everything you taught it in February. |
| The output | ✕A chat reply or a rough CSV you still have to reshape, dedupe and import by hand. | ✓A QBO file the QuickBooks bank feed accepts, Xero-ready CSV, Tally XML, or Excel working papers. Import-ready, deduplicated. |
| Audit trail | ✕No trace from ledger entry back to the source line. When a reviewer asks “where did this come from?”, you have nothing. | ✓Every entry links back to its page and line in the original PDF. Reviewer-proof. |
| Real cost | ✕A $20/month subscription plus hours of prompting, checking and cleanup per client. Your time is the expensive part. | ✓Flat, predictable per-page pricing. A 200-page statement is minutes of review, not an afternoon of babysitting a chatbot. |
General AI is remarkable. It just isn’t accountable — and your ledger has to be.
The books live where the client keeps them
We don’t care which accounting software wins. One conversion exports to any of them, so a mixed client base stops being a mixed workflow.
QuickBooks Online & Desktop
Imports through the bank feed path with stable transaction IDs, so re-imports never duplicate.
Xero
Pre-shaped to Xero’s bank statement import format. Upload, reconcile, done.
Tally Prime
Ledger-mapped vouchers ready for Tally import, with your ledger names intact.
Excel working papers
Categorised ledger, monthly summaries and a cash-basis P&L in one workbook. Perfect for the year-end shoebox client.
Sage, Zoho Books, Wave & more
Journal-entry and bank-import CSVs shaped for the format each platform expects.
Anything with an import button
A clean, universal transaction file with dates, amounts, categories and codes. If it imports CSV, it imports Bank2Ledger.
You don’t bill for data entry. So stop doing it.
Bank2Ledger is a pre-accounting tool. It sits before QuickBooks, Xero or Tally in your workflow and does the part no client will ever pay a professional rate for: turning a folder of PDFs into clean, coded, verified entries.
The judgment work stays yours. Which account a tricky payment belongs to, how a director’s loan should be treated, what the reviewer will question. That’s the work worth your hourly rate. Keying 2,400 lines from a scanned Emirates NBD statement is not.
Firms tell us the same thing in different accents: the bottleneck isn’t the accounting, it’s getting the data into the accounting. That bottleneck is what this tool removes.
Run your next client statement through it
Your first statement is free, no card. Upload a real statement, watch it tie out, export the file. If it doesn’t save you an afternoon, close the tab.
